The Assistant to the National Coordinator has for a general goal to assist the National Coordinator with assuring deliverables, furthering donor relations, completing administrative tasks, tracking deadlines, and liaising with both national staff and international Tostan offices.
Start Date: January 2012
Minimum commitment: 1 year
Hours per week: Full-time (40 hours/week, but must also be flexible to work/travel on weekends depending on tasks)
Location: Conakry, Guinée with travel to field offices and villages
Direct supervisor(s): National Coordinator, Guinée
Collaborator(s): Finance and Administration Manager, Supervisors, International Program Team, International Communications Team (Dakar, Paris, Washington, DC), Monitoring, Evaluations, Research & Learning (MERL) Team, and other staff and partners at the local and national levels
Responsibilities
Primary Responsibilities:

Assist the National Coordinator with various tasks, ranging from organizational to administrative to linguistic, etc.

Collaborate closely with M&E staff to investigate and communicate impacts and effects of Tostan programs in the field through village visits, participating in program evaluations, and writing and sharing reports; facilitate sharing of impacts and effects through the implementation of Tostan’s new Monitoring and Evaluation (M&E) system between national and international M&E teams

Synthesize monthly Regional Coordinator and Supervisor reports for entry into Tostan Guinée database
-
Research, write, and deliver quarterly reports to project funders (USAID and other donors), in coordination with National Coordinator and Executive Director

Attend meetings with donors, governmental officials, and other partners as necessary

Serve as primary liaison between Tostan Guinée and the International Communications Team (Dakar, Paris and Washington, DC), including preparation and sharing of written documents for internal and external communications such as articles/stories for intranet, website, newsletters, and other Tostan communications vehicles; edit and translate these documents, as necessary

Work to implement communications plans as recommended by the Tostan Strategic Plan

Write and send reports/work group minutes, and periodic status reports to Executive Team

Write and edit reports, proposals, articles, etc. for Tostan Guinée, including translation when necessary
Secondary Responsibilities:
-
Assist staff to professionally present Tostan Guinée’s work: produce publicity materials (including PowerPoint presentations, brochures, etc. in French and English), represent Tostan Guinée at local and national conferences, interface with donor visitors, etc. Help to develop an organization and communications system within Tostan Guinée to ensure that information is shared with the Executive and International Communications Teams

Write village portraits and collect anecdotes to share with Tostan Guinée staff and the International Communications Team

Initiate capacity-building activities for staff in ICT skills, report writing, statistical data collection and analysis, and English through trainings, workshops, and collaboration/critique

Help to develop an organization and communications system within Tostan Guinée to ensure that information is shared with the Executive and International Communications Teams

Write and edit reports, proposals, articles, etc. for Tostan Guinée , including translation when necessary
Final Products
-
Reports, proposals, and work plans that follow donor criteria
-
Electronic copies of all documents produced, edited, etc. to National Coordinator, incoming volunteer, and Volunteer Coordinator
-
Final narrative report of individual activities for internal distribution and adaptation for external use
-
Completed “Request for Volunteer” forms, submitted to the Volunteer Coordinator, as needed
-
Other activities, as requested by Executive Team, Volunteer Coordinator, and other immediate supervisors and collaborators
Qualifications and Necessary Skills
-
Bachelors degree or current enrollment in Bachelors program; studies in International Development, Education, Gender Studies, other social sciences, Business, Management, or related field preferred

Strong written and spoken proficiency in English and French required, knowledge of local language(s) preferred
-
At least two years of experience working with a non-governmental organization / non-profit OR prolonged experience in a developing country/region

Project management experience preferred
-
Capable of working with external stakeholders on planning and program implementation
-
Flexible to adapt to a multicultural environment, to work in varied conditions, to be considerate of limited resources, and to adapt work priorities to the immediate needs of the project or donor

Strong computer skills in Microsoft Office Suite, including Word, Excel, and PowerPoint; Experience with Access or other database software preferred
-
Capable of working in different kinds of work environments, often with communication impediments (loss of power, internet, etc.)
-
Ability to define and meet organizational needs with minimum supervision or oversight, and to manage multiple tasks at once
-
Thorough understanding of Tostan’s programs and methodologies
-
Knowledge of Gmail, Google Groups, Google Documents, Google Calendars, and other Internet programs preferred

Strong communication and organizational skills

As a non-profit organization who works to commit the maximum level of resources to our communities, we rely on volunteers to cover many of their own costs during their volunteerships.
