Tostan - Get Involved

Position Title: Jokko Initiative Assistant Project Manager
Type: Volunteer
Location: Senegal

Tostan International

The Assistant Project Manager had a full-time project administration and leadership role within Tostan International. By working in conjunction with the Project Manager, the senior management of Tostan International and projects members, the Assistant Project Manager facilitates the smooths running of the Jokko Initiative's activities in the field, ensuring appropriate inter and intra-departmental communication through effective day-to-day administration and project coordination.

Start Date: January 2011
Minimum Commitment: 6 months
Hours per week: full-time (40 hours/week)
Location: Dakar with frequent travel to Thies
Direct Supervisor: Jokko Initiative Project Manager
Collaborators: Senior management of Tostan International, National Coordinator, Monitoring and Evaluation Department, Communications Department, and project members.


Responsibilities

Project Coordination:
  • Support the Project Manager in the coordination of the project; also take the lead with certain tasks;
  • Ensure that projects procedures are implemented and followed on the project;
  • Assist M&E Dpt. (or take the lead as appropriate) in the monitoring and controlling during the project lifecycle:
  • Collect and analyze key project data on a monthly basis and liaise with the Project Manager on reporting to the Executive Director;
  • Ensure that all project-related documents are produced in a timely fashion, kept up to date and are made accessible to project teams and company employees, as appropriate;
  • Constantly assess the project method and propose and implement improvements to working practices where appropriate;
  • Initiate, organize and take part to bimonthly fields visits with the National Coordinator for the project

Communications and Information:
  • Assist the Communications Department with regular reporting on project status;
  • Escalate problems at the earliest opportunity to the Project Manger and the appropriate head of department;
  • Initiate, organize and attend project meetings with appropriate members of the project team and partners and to ensure that agendas and meeting minutes are produced, circulated and acted upon in a timely manner;
  • Ensure that the project is kept fully informed about tasks required of them and their roles on projects;
  • Assist the Communications Dpt. in the creation of dedicated communication visuals about the Jokko Initiative.

Work Planning:
  • Responsible for his/her day-to-day work planning against objectives set by the Project Manager
Final Products
  • Electronic copies of all documents produced, edited, etc.
  • Other actives, as requested by the Executive Team, Project Manager, Communications Department and other immediate supervisors and collaborators

Qualifications and Necessary Skills
  • Through understanding of Tostan's programs and methodologies
  • Proficiency in English and French required
  • Master's degree OR current enrollment in Master's program (studies international Development, Education, Gender Studies, Non-Profit Management, or Monitoring & Evaluation preferred, specific training in M&E highly desired
  • Two (2) years of professional experience either with a NGO working in the Global South and familiarity with M&E systems and NGO processes highly desired
  • Six (6) months - one (1) year of monitoring and evaluation experience preferred
  • Strong communications skills
  • Outstanding organizational skills
  • Flexibility to adapt to a multicultural environment, to work in varied conditions, to be considerate of limited resources, and to adapt work priorities to the immediate needs of the project
  • Strong computer skills in Microsoft office suite, including Word, Excel, and Power Point
  • Experience with Access or other database software preferred
  • Knowledge of Gmail, Google Groups, Google Documents, Google Calendars, and other internet programs preferred
  • Working knowledge of MS Office, Internet, Skype, as well as graph- and chart-making applications
  • Data Analysis experience preferred
  • Ability to work independently, self-motivate, and to manage multiples tasks at once as well as as strong communication and organizational skills
  • Ability to travel independently
