Position Title: Assistant to the National Coordinator, Senegal
Type: Volunteer
Location: Thies, Senegal
Description:
The Assistant to the National Coordinator has for a general goal to assist the National Coordinator with assuring deliverables, furthering donor relations, completing administrative tasks, tracking deadlines, and liaising with both national staff and international Tostan offices. 
      
Start Date:  June 2012
Minimum commitment: 1 year        
Hours per week: 40 hours/week
Location: Thies , Senegal (70%) with travel to field offices and other regions of the country (30%)
Direct supervisor(s): National Coordinator, Senegal            
Collaborator(s): Assistant National Coordinator, Finance and Administration Manager, Supervisors, International Program Team (Dakar), International Communications Team (Dakar, Paris, Washington, DC), Monitoring, Evaluations, Research & Learning (MERL) Team, and other staff and partners at the local and national levels   
 
Responsibilities

Primary Responsibilities
  • Work with Assistant to the Executive Director to develop and maintain a calendar of essential activities and due dates (report due dates, meetings, missions, visits, deliverables, etc.)
  • Collaborate with Executive Director’s assistant to draft donor reports, proposals, narratives, and annual work plans to ensure that donor requirements are being met; critique and proofread

  • Develop an annual work plan for each donor and corresponding project
    Send out reminders to those involved in the activities and due dates to facilitate timely submissions of reports and execution of activities
  • Attend meetings and accompany Director of Programs on relevant missions; take note of commitments and decisions discussed during meetings, on phone calls, and in emails
  • Collaborate with the monitoring and evaluation department to assure communication amongst the department, the Executive Director, and the regional office, as well as donors, project partners, etc.
  • Collaborate with local and international staff to produce public relations materials (in French and English), such as PowerPoint presentations, brochures, films (if qualified
     
Secondary Responsibilities
  • Collect, create, maintain, and improve the electronic filing system for administrative and operational documents; keep up with standard naming convention and other organizational techniques (in collaboration with assistant to the Executive Director)
  • Working in conjunction with the Assistant to the Executive Director, help implement and train coordinators/secretaries on monthly and quarterly report template
  • Work with other departments and regional teams to organize events such as donor visits and public declarations
  • Act as a liaison for donors and local NGOs
  • Ensure the harmonization of translations (French to English, English to French), as necessary, using organization-specific vocabulary; update the translation lexicon with new terms or standard changes in vocabulary
  • Work in collaboration with Monitoring and Evaluation team to ensure the improvement and standardization of Tostan’s Monitoring and Evaluation systems by consistent communication with National Director of Program, regional coordinators and other concerned employees and volunteers
  • Facilitate and initiate communication with Volunteer Coordinator and implicated volunteers on upcoming events or programs relevant to volunteer projects, using the Volunteer Request form when a volunteer is needed to complete a project/mission/report, etc.
  • Write and edit reports, proposals, articles, etc. for Tostan Senegal , including translation when necessary
  • Professionally represent Tostan, including during donor and partner visits, with local and national media, in the office space, etc.
Final products
  • Electronic copies of all documents produced, edited, etc. to National Coordinator, incoming volunteer, and Volunteer Coordinator
  • Final narrative report of individual activities for internal distribution and adaptation for external use
  • Reports/work group meeting minutes, and periodic status reports to Executive Team
  • Completed “Request for Volunteer” forms, submitted to the Volunteer Coordinator, as needed
  • Other activities, as requested by the Executive Team, Volunteer Coordinator, and other immediate supervisors and collaborators 
Qualifications and Necessary Skills
  • Bachelors degree or current enrollment in Bachelors program; studies in International Development, Education,
  • Gender Studies, other social sciences, Business, Management, or related field preferred
  • Experience working with a non-governmental organization / non-profit   OR prolonged experience in a developing country/region
  • Thorough understanding of Tostan’s programs and methodologies
  • Excellent written and spoken English and French (writing samples required)
  • Experience in project management, implementation, and monitoring and evaluation preferred
  • Capable of working with external stakeholders on planning and program implementation
  • Strong computer skills in Microsoft Office Suite, including Word, Excel, and PowerPoint; Experience with Access or other database software preferred
  • Knowledge of Gmail, Google Groups, Google Documents, Google Calendars, and other Internet programs preferred
  • Project management experience preferred
  • Ability to work independently, self-motivate, and to manage multiple tasks at once
  • Strong communication and organizational skills
  • Flexible to adapt to a multicultural environment, to work in varied conditions, to be considerate of limited resources, and to adapt work priorities to the immediate needs of the project or donor

As a non-profit organization who works to commit the maximum level of resources to our communities, we rely on volunteers to cover many of their own costs during their volunteerships.  These costs include expenses such as travel between their home countries and work countries, medical costs, and other personal incidentals such as meals, personal travel, clothes, etc.  We in turn do our best to commit to covering housing and weekday lunches for all of our volunteers.
